Outgrown your CRM, or simply fallen out of love with it? Switching can feel risky. Years of contacts, deals, notes and history live inside that system. But with a clear plan, a CRM migration can be smooth, safe and a genuine fresh start for your sales process.

Before you move: get clear on why

Write down exactly what's not working today and what the new CRM must do better. This list becomes your checklist for choosing the new system and the yardstick for judging whether the move was worth it.

Step 1: Audit and clean your data

Don't move clutter into a shiny new home. Before exporting:

  • Merge duplicate contacts and companies

  • Delete contacts you'll never need again

  • Standardise fields such as country names, phone formats and job titles

  • Close or archive old deals that are clearly dead

Step 2: Map your fields

Every CRM structures data slightly differently. Make a simple spreadsheet listing each field in your old CRM and where it will live in the new one. Pay special attention to custom fields, deal stages and ownership. This map prevents data ending up in the wrong place, or disappearing entirely.

Step 3: Export everything

Export contacts, companies, deals, notes, tasks and activity history. Keep a full backup in a safe place, untouched, before you do anything else. Check whether attachments, email history and call logs can be exported too, as these sometimes need a separate step.

Always keep an untouched backup of your old data. It's your safety net if anything goes wrong.

Step 4: Run a test import

Import a small sample, say 50 contacts and a few deals, and check every field carefully. Is everything in the right place? Are relationships between contacts, companies and deals intact? Fix your mapping, then import the rest.

Step 5: Rebuild what matters

Pipelines, automations, email templates and reports usually don't transfer automatically. Treat this as an opportunity: rebuild only what you genuinely use, and simplify along the way.

Step 6: Bring your team with you

  • Choose a clear switch-over date

  • Run a short training session focused on daily tasks

  • Run both systems side by side briefly if you need to, then retire the old one

  • Gather feedback after two weeks and fix friction quickly

The short version

Clean your data, map your fields, back everything up, test with a sample, rebuild only what you need and support your team through the change. Still choosing where to move? See our CRM reviews and comparisons.
